Hotel Guild 5 Terms and Conditions of Accommodation

Article 1 (Scope of Application)

These Terms and Conditions apply to the accommodation agreements and related contracts between our hotel and guests. Matters not specified in these Terms shall be governed by applicable laws and generally accepted practices.

2. If the hotel agrees to a special contract within the scope of laws and customs, that special contract will take precedence.

 

Article 2 (Request for Accommodation Contract)

To request a stay at our hotel, the following information must be provided:

(1) Name of the guest

(2) Date of stay and estimated arrival time

(3) Room rate (based on the rates in Appendix 1)

(4) Any other information the hotel deems necessary

2. If a guest wishes to extend their stay beyond the original dates, this will be treated as a new accommodation request.

 

Article 3 (Establishment of the Accommodation Contract)

The contract is considered established when the hotel accepts the request.

2. Guests may be asked to pay a deposit equal to up to three days’ room charges by a specified date.

3. The deposit will be applied to the total accommodation fee. If cancellation or damages occur, it may be used to cover penalties and compensation. Any remaining amount will be refunded.

4. If the deposit is not paid by the specified date, the contract may be voided.

5. The hotel may waive the deposit requirement in some cases.

6. If the hotel does not request a deposit or a payment deadline, it will be treated as if a special agreement was made.

 

Article 4 (Request for Cooperation in Infection Prevention)

The hotel may ask guests to cooperate with infection control measures in accordance with the Hotel Business Act.

Article 5 (Right to Refuse Accommodation)

The hotel may refuse to accept a reservation in the following cases:

(1) The request does not follow these Terms.

(2) No rooms are available.

(3) The guest may violate laws, public order, or morals.

(4) The guest is linked to organized crime groups or anti-social forces.

(5) The guest has previously caused serious trouble to other guests.

(6) The guest is identified as having a designated infectious disease.

(7) The guest makes unreasonable demands or behaves violently (not including reasonable accommodations for disabilities).

(8) The guest makes repeated demands that may affect other guests’ services.

(9) Accommodation is not possible due to disasters or facility issues.

(10) The case falls under local government regulations.

2. Guests may ask the hotel to explain the reason for refusal.

 

Article 6 (Guest’s Right to Cancel the Contract)

Guests can cancel their reservation by notifying the hotel.

2. If the guest cancels due to their own reasons, a cancellation fee (see Appendix 2) will apply, unless exempted by special agreement.

3. If a guest does not arrive by midnight without notice, the hotel may consider the contract canceled.

4. If non-arrival is due to public transportation issues or reasons beyond the guest’s control, the cancellation fee will not apply.

 

Article 7 (Hotel’s Right to Cancel the Contract)

The hotel may cancel the reservation in the following cases:

(1) The guest is likely to violate laws or disturb public order.

(2) The guest is associated with criminal organizations or anti-social forces.

(3) The guest causes serious trouble to others.

(4) The guest has a designated infectious disease.

(5) The guest makes unreasonable or violent demands.

(6) The guest makes repeated unreasonable requests affecting services for others.

(7) Accommodation is impossible due to natural disasters.

(8) The case falls under local government regulations.

(9) The guest smokes in the room or violates fire prevention rules.

2. If the hotel cancels the reservation, it will not charge for unused services.

3. Guests may ask the hotel to explain the reason for cancellation.

 

Article 8 (Guest Registration)

Guests must register the following by or on the day of check-in:

(1) Name, address, and contact details

(2) Nationality and passport number (for non-residents of Japan)

(3) Other necessary information

 

Article 9 (Use of Guest Rooms)

Guest rooms are available from 4:00 PM to 11:00 AM the next day. For consecutive stays, rooms can be used throughout the day, except for check-in/check-out days. Staff may enter for cleaning if needed.

2. If you use the room beyond regular hours, extra charges apply:

(1) Up to 3 hours: 20% of room rate

(2) Up to 6 hours: 40% of room rate

(3) Over 6 hours: 50% of room rate

 

Article 10 (Rules of Conduct)

Guests must follow the rules posted by the hotel.

 

Article 11 (Business Hours)

Front desk service hours: 8:30 AM – 5:30 PM

2. These hours may change temporarily. Any changes will be announced appropriately.

Article 12 (Payment)

Room rates are shown in Appendix 1.

2. Payment is usually required in advance by credit card. Other payment methods may be arranged with prior agreement.

3. If a guest chooses not to stay after the room is made available, payment is still required.

 

Article 13 (Hotel’s Liability)

The hotel is liable for damages caused by failure to fulfill the contract, except when not at fault.

2. The hotel is covered by liability insurance for emergencies like fire.

 

Article 14 (If the Reserved Room is Unavailable)

If the hotel cannot provide the reserved room, it will attempt to find similar accommodations elsewhere.

2. If alternative accommodation cannot be arranged and the hotel is at fault, the hotel will pay compensation equivalent to a cancellation fee. No compensation will be paid if the hotel is not at fault.

 

Article 15 (Items Left in Custody)

The hotel does not accept valuables or items for safekeeping. It is not liable for loss or damage unless due to intentional or gross negligence.

 

Article 16 (Lost and Found)

The hotel cannot accept or store guests’ belongings before check-in.

2. If belongings are left behind after check-out, the hotel will try to contact the owner. Items will be stored for seven days, then taken to the police or otherwise disposed of. Perishable items may be discarded immediately.

3. The hotel is not responsible for damage or loss unless due to intentional or gross negligence.

Article 17 (Guest’s Liability)

Guests must compensate the hotel for any damage caused by their intentional or negligent actions.

Room rate:  ①Base room charge

Taxes:  Consumption tax

Note: Base rates are posted in the room rate chart.

Day of stay / No Show:  100%

1-2days before:  50%

3days before:  30%

7 days before:  0

Cancellation fee is based on the full room rate for all reserved nights.

Hotel Guild 5 Rules of Use

In order to maintain the public nature and safety of our hotel, we ask our guests to abide by the following rules in accordance with Article 10 (Compliance with the Rules of Use) of the Hotel Guild 5 Accommodation Policy. Failure to abide by these rules will result in the guest's refusal to continue their stay in accordance with Article 10 of the Hotel Guild 5 Accommodation Policy.


 

  1. DO NOT use any firearms that may cause a fire in the hotel.

  2. DO NOT smoke in or around the hotel (including electronic cigarettes, heated cigarettes, and water cigarettes). If smoking or cigarette butts are found to have been brought into the room, a cleaning fee of 33,000 yen (including 10% consumption tax) and a damage fee will be charged. If there is a complaint from a neighbor, you may be asked to leave the building.

  3. DO NOT cause a disturbance to neighboring residents by singing, boisterous behavior, or any other behavior that is objectionable to others.

  4. DO NOT bring the following items into the hotel;

      (a) Animals (except guide dogs and service dogs) 

      (b) Items that emit an extremely foul odor 

      (c) Items in extremely large quantities 

      (d) Items that are likely to ignite or catch fire, such as gunpowder and volatile oil 

      (e) Guns and swords that are not lawfully permitted to be possessed 

      (f) Marijuana, narcotics, stimulants, etc. 

   5. DO NOT engage in gambling or other activities that disrupt public morals in the hotel. 

   6. DO NOT engage in gambling or other activities that disrupt public morals in the hotel.

   7. DO NOT attach foreign objects to the building or facilities of the hotel, or move them to other places in the hotel.

   8. DO NOT use the hotel while intoxicated.
